Project Coordinator full-time
Norm Li is Canada's leading architectural visualization studio. We are currently seeking a motivated and solutions-oriented Project Coordinator to join our growing team. Based in Toronto, we create beautiful visualizations of architectural places and spaces for the real estate development and design industry. We’re in the business of making our clients look good.
As the Project Coordinator, your job is to ensure both client and artist needs are met throughout the project life cycle. You will set-up projects for success and in collaboration with the production team, you will deliver projects on time, on budget, and provide our clients with an exceptional service experience. You will be responsible for managing the administrative side of our production pipeline which is composed of four pillars: Time Management; Documentation & Reporting; Communications; and Administration.

RESPONSIBLITIES
Time Management
- Manage project schedules and timelines
- Track project status, milestones, deadlines, and meetings
Documentation & Reporting
- Update and maintain project information systems
- Create project documentation including workback schedules and meeting notes for internal and external stakeholders
- Collect all necessary assets for the project
- Track team capacity and availability
Communications
- Handle all incoming inquiries
- Liaise with clients regarding deliverables, timelines, fees, team assignment, and production progress
- Provide clients with solutions to issues that may arise
Administration
- Create and send out fee estimates
- Track any changes to scope, budget, project assignments, and resource requirements
- Provide portfolios when requested
QUALIFICATIONS
- Proven success in fostering collaborative relationships
- Thrive in a fast-paced environment have capacity to handle multiple projects and deadlines
- Be able to work under pressure while remaining cool and professional
- Highly organized and detail-oriented individual who can identify risks, analyze options, and present solutions
- Proficient in reading architectural drawings
- Savvy with Microsoft Office (Excel, Word) and other project management tools
- At least University/College education and project experience working in a studio or agency environment
NICE TO HAVE
- Background working with creative teams
- Interest/Knowledgeable in Architecture, Real Estate Development, and/or Design industries
- Knowledge of 3D rendering software and process
